TalentAdvice is committed to respecting your privacy. This policy describes how the personal data provided to us are stored and processed. We take the protection of your personal data very seriously and this is how we comply to the most recent EU regulation on data privacy (commonly known as the GDPR and effective since May 25th, 2018)

Who we are and what we do

TalentAdvice bvba is a human resources consulting company located in Belgium and is registered as company number BE 0835 254 627. Our registered office and global headquarter is located at V. Mertensstraat 35, 1501 Buizingen, Belgium. In order to guide people, teams and companies in their development we sometimes use personal data (for example to register people to online platforms we use to create personality reports or CVs in function of a development center)

What data we collect

TalentAdvice receives personal data from its clients in function of the activities organised (see chapter: What we do with your data). In the case that we receive personal data, the minimum data collected are your name, first name, e-mail address and language. In case of a coaching activity or a 360° feedback, your telephone number will be collected as well (so we can contact you personally). In case of an Assessment or Development Center, your CV is collected as well (but we always ask you for your CV, we don't ask your employer)

How we collect your data

TalentAdvice receives personal data from its clients' contact persons (for example: people in the HR dept, Learning & Development dept, Talent Management dept or team leaders or people managers). We collect your personal data in files that we upload to our secure Dropbox cloud servers. We send an upload link to our contact persons to avoid details being sent by e-mail. When we ask for your CV, we will send you an upload link by mail. All personal data are stored in the Dropbox cloud servers. We do not store personal data on the hard drives of PCs or desktop computers

What we do with your data

Depending on the activity you are taking part in, we do different things with your data. We always keep your data on our TalentAdvice Dropbox servers (for example when you take part in Assessment and Development Centers or coaching sessions) and we use sub-processors to create reports or do online learning activities. In the list below you will find a description of all the possible activities we do that concern the storage and processing of your personal data

  • Assessment Centers and Development Centers: we collect your data in order to be able to contact you and make arrangements for the activity. A report is written with the findings of the Center and stored on our secure Dropbox cloud servers. A secure link is used to download the report when shared internally between our consultants, our contact person at the client and you
  • Coaching sessionswe collect your data in order to be able to contact you and make arrangements for the activity. If the coach receives sensitive personal information about or from you, this information will be collected and kept in alignment with the controller’s responsibility to collect minimum amount of information, safeguarding the information with a password, and access to the data only being given to the parties that have been agreed to by the data subject
  • Towers Watson Software Limited: we collect your data to register you to personality questionnaires and reasonability tests that are on their Oasys platform and to receive e-mails from the platform that invites you to fill out the online questionnaires. To find out how Towers Watson complies to the GDPR and how they store and process your personal data and what you can do to contact them, click here. When you filled out a questionnaire, a report is created and we download the report from their servers and save it on our secure Dropbox cloud servers

  • Insights Discovery: we collect your data in order to be able to send you an e-mail to fill out the Insights Discovery questionnaire. You register yourself to the questionnaire through the link we send you. When you filled out the questionnaire, a report is created and we download the report from the Insights Discovery servers and save it on our secure Dropbox cloud server. To find out how Insights Discovery complies to the GDPR and how they store and process your personal data and what you can do to contact them, click here
  • DISC (by PeopleKeys): we collect your data in order to be able to send you an e-mail to fill out the DISC questionnaire. You register yourself to the questionnaire through the link we send you. When you filled out the questionnaire, a report is created and we download the report from their servers and save it on our secure Dropbox cloud server. To find out how PeopleKeys complies to the GDPR and how they store and process your personal data and what you can do to contact them, click here
  • MBTI (by OPP Ltd): we collect your data in order to register you to the OPP platform and to receive an e-mail from the platform that invites you to fill out the online MBTI questionaire. When you filled out the questionnaire, a report is created and we download the report from the OPP Ltd servers and save it on our secure Dropbox cloud server. To find out how OPP ltd complies to the GDPR and how they store and process your personal data and what you can do to contact them, click here
  • Talogytech - 360° feedback: we collect your data to register you to the PSI / Cubiks 360° Feedback platform and to send you e-mails to invite you to connect to the platform and to send you reminder e-mails. After filling out the questionnaire a report is created and we download the report from the PSI / Cubiks servers and save it on our secure Dropbox cloud server. To find out how PSI / Cubiks complies to the GDPR and how they store and process your personal data and what you can do to contact them, click here
  • Wiley / CrossKnowledge: we collect your data to register you to the CrossKnowlegde online learning platform and to send you e-mails to connect to the platform and to remind you to complete online learning activities on the platform. We also create reports (in Excel) about your online activities that we send to the responsible person in your company (our contact person). In these reports your online activities are logged (what online learning contents you consulted, when you did the online activities and how much time you spent doing them). To find out how Wiley / CrossKnowledge complies to the GDPR and how they store and process your personal data and what you can do to contact them, click here
  • Zoom: we do not collect or store your personal data to use this video communication platform. When you participate in a Zoom session organized by us, you receive a link to the session. By clicking on the link you will be able to download the software to use Zoom. If you do not wish to install the desktop app, you can also join through your web browser. TalentAdvice does not collect or share your personal data during Zoom sessions in any way (for example: the option to record a training session is permanently switched off on admin level)
  • TalentAdvice freelance consultants: they are professional consultants that work for TalentAdvice on a freelance basis. They only receive your personal data when strictly necessary. This is when they are part of an activity (for example a training session, a coaching, or a development center) where one of the above sub-processors is used. They will receive your data and reports through a secure link and have a signed agreement with TalentAdvice on how to store your personal data compliant with the GDPR
  • TalentAdvice directors and employees: they are the TalentAdvice owners and people on the TalentAdvice payroll. The owners are responsible for complying to the GDPR by issuing this privacy policy and the coördinator agrees to this policy by an addendum to the contract

How we keep your data

All personal data shared with TalentAdvice by its clients and participants of activities are stored on the secure cloudbased Dropbox servers used by TalentAdvice. Read more about Dropbox privacy here. We keep your data for as long as necessary to meet the purposes of the activity in which you are requested to take part by your employer, with a maximum of 2 years. After this period they will be deleted. Only the people who are on the TalentAdvice payroll have access to your data. All other people who receive your data (see above), will receive the documents by password protected temporary links to download the documents from the cloud servers (not via e-mail)

How to contact us about your personal data

You have the right to request all your personal data kept by TalentAdvice and its sub-processors (see above) and have inaccurate data corrected, adapted or have your data deleted
